Horizon Workrooms - only guest can enter workroom

I have created a workroom for making first experiences.

- Works fine for me alone in VR

- Guests can enter with the guest link via browser

- Invited members can not join the room.

When trying to enter there is a selection to join with VR or browser.

After selecting to join via browser an error message says something like "connection to video chat is not possible" (translated from the German message). 

 

Whats the trick for members to get into the room?

Can't answer, not much of a simmer so I don't see myself getting very far there, high hopes for new desk/couch features. Are the main virtual environments considered Horizon Home?

Hello, once you invite a member whether they are connecting via computer or mobile device, or through VR. Once the person follows the invitation link, they can either join the room from their computer or device. There is also an option to put on the VR headset.  If they choose the VR option and go to the Workrooms app, the first thing they will see is a code. Go back (I know) to the computer, enter the code, and thus the headset is paired, and they can continue with the meeting in VR. They will not have access to the meeting chat, notes, etc. unless they have also clicked on the link to become a member. Unfortunately, this is not the experience after hours of attempts to get this to work. We are experiencing the following. I have a workroom setup. Have created a meeting, I have invited a participant via the Team Members option and meeting invitation. This person doesn't have a problem entering the meeting via the web browser. The issue is in when trying to enter the VR room. The only workroom option he and others see is the workrooms they setup when creating their account or profile. As mentioned, we are not seeing the option to join VR followed by the pairing steps. This option is only available for their individual workrooms and not an option as first step in trying to join another workroom via VR. If you already have setup a workroom and paired your device, if you receive an invitation to join another workroom you do not see this from your VR desktop, simply put to collaborate within the VR environments workroom how can individuals join?

@MetaQuestSupport I would assume and we have clearly continued to make this assumption and that is, people are able to view all of the workrooms they have been invited or created from the VR Desktop view before entering any workrooms. However, the experience is you only see your individual workrooms and not those that you have been invited to join as a team member nor meeting invites that you have accepted that were emailed. You only see the workrooms you have created.  

 

If the thought here is to allow collaboration amongst internal and external teams there must be an easy way to jump between workrooms. Regardless if it is your personal workroom or not, collaboration must occur seamlessly by allowing easy access between workrooms. We have simply been unable to bring individuals into the VR workroom space, for a meeting amongst our personal created avatars for the immersive VR workroom experience. Please provide some direction here as we are attempting to prepare for a larger POC amongst our organization. Thank you.

The VR App BIGSCREEN provides a very streamlined process of getting users together in a public or private rooms. Desktop sharing and streaming is easy to setup and use as well. Within 30 mins we had 4 individuals new to oculus begin using this application. Talking, interacting, collaborating privately in a room amongst recently created profiles and avatars. I do understand the security elements that must be implemented in horizon workrooms however, again if the idea around these workrooms is to present a collaborative working immersive space in VR that companies can use then easy usability must be the focus. UAT should be performed amongst normal somewhat non-technical audiences. We have a desire to embrace this within my organization but if we are unable to roll this out easy and seamlessly amongst our user base, we will have to forego our plans of future adoption until these issues are addressed and implementation, ease of use and adoption are better. I know this is still Beta and hopefully my input here will help to improve upon this exciting platform. We love the idea and look forward to embracing it. Thank you.

Hey @tdwash2 & @Jet68 ... I had the exact same problem and it was extremely frustrating. It was even more frustrating for me to see that @MetaQuestSupport couldn't point you in the right direction because when I found the solution last week I realised it really should have been obvious to them. Things just aren't well enough documented I feel.

When you create a meeting in the workplace.com calendar you can indeed invite anyone using their email (as you pointed out) but if you want them to have the option to join in VR you need to add them to the workroom.

So click on the workroom you plan to use for the meeting and click on "Add People" in the upper right. Add their email there before you add them to the meeting and they will then have the choice to join in VR.

In fact, the meeting should appear in their VR desktop when they enter Horizon workrooms (the construct as we call it 😀). 

We are exploring using workrooms for our design analysis sessions. I'd be keen to hear how things work out for you guys.

@mark_gemmell thank you for confirming ... "if you want them to have the option to join in VR you need to add them to the workroom."

@MetaQuestSupport I noticed that when you add new members to a workroom they get added to other workrooms automatically. It was a hastle needing to remove people from other workrooms. Ideally, new members should only get added to the workroom you invite them to.

i had the same issue: i couldn't join a new workroom i was invited to, because in VR, i only saw the workroom i setup when creating my account. BUT I SOLVED IT!

 

you have to log out of your Workroom account (inside the workroom VR app), by going to the Settings "gear" icon (in the workroom app), then Account, then "logout" of that account. then, quest will quit the workroom app. relaunch it and the "pairing code" screen will appear. use that to pair your VR in the workrooms website.

 

long story short:
- workplace website can handle you belonging to multiple workrooms

- workplace VR can only handle being connected to one workroom at a time
